HOLIDAY CRAFT & VENDOR FAIR
Terms and Conditions
  
All vendors agree to rent a space for the Sketch Club Players Holiday Craft and Vendor Fair on Saturday, December 2, 2017 from 10:00 a.m. through 3:00 p.m. (set up 8:30 to 9:45 a.m., break down 3:15 to 4:00 p.m.) at Dances by Diane at 201 Broadway, Westville, NJ. Vendors must bring their own tables and chairs (Spaces are 8’ wide.)
Please note your need for electricity on the application. You will be shown your space when you arrive to set up.
 
The undersigned understands that no definite assignment of space will be made without the required fee and this completed contract. 
 
Payment and signed contract/agreement are due within 7 days of your receipt of this contract/agreement to guarantee reservation of your space. Please note that if a contract is NOT received by the end of the 7th day, this space will NOT be held and will be given to another exhibitor without further notice to you.
 
SPACES ARE LIMITED.  FIRST COME FIRST SERVED. 
 
The fee for this event is $30, along with a donated  item of your choice, for a door prize.
A signed contract and payment in full must be received within 7 days of receipt of this contract/agreement to reserve your space.
No refunds of the exhibitor space will be made as your agreement to exhibit may cause the loss of additional bookings. (see Conditions and Responsibilities of Exhibitors for more information)

Checks are to be made payable to Sketch Club Players - (a fee of $35.00 will be charged for returned checks.)
Payments may also be made via PayPal.

This Agreement is binding upon receipt of this completed and signed contract/agreement with payment in full. The undersigned hereby contracts for _____ exhibit space(s).
Only sell items that are listed on this application (we will check this on the day of the event).
Must only sell NEW merchandise!
 
CONDITIONS AND RESPONSIBILITIES OF EXHIBITORS
Please read the material below and make sure all parties understand the rules and requirements of participating in this event.
 
LIABILITY / HOLD HARMLESS
The Host shall bear absolutely no responsibility for any risks, hazards, theft, injury/damage or other actions that harm the Exhibitor’s merchandise, personal belongings or self while participating at the event. If the Exhibitor wishes to protect or insure their merchandise value, the Exhibitor must obtain their own private insurance coverage. Exhibitors shall indemnify and hold
host harmless from any claims arising out of the participation at the event. Host will not be responsible for any loss, damage or injury to the Exhibitor.  Exhibitors will be responsible for any damages to the event location property during this event.    
       
LOAD-IN/LOAD-OUT
All load-ins and load-outs must take place within the designated timeframe and location given. Host is not responsible for checking in or handling any items brought to the event location by Exhibitors.
 
CLEANING, TRASH AND EQUIPMENT REMOVAL
The event space will be in a clean condition prior to vendor set-up. No confetti of any type is permitted. Within one (1) hour following the ending time of the event, you are required to return the space to the same clean condition in which it was found. All trash, including recyclables must be collected, properly bagged and discarded.
                                                                                           
CITY, COUNTY, STATE AND FEDERAL LAWS
The undersigned Exhibitor agrees to comply with all applicable City, County, State and Federal laws and shall conduct no illegal acts on the premises. This is a drug free and non-smoking facility at all times. NO EXCEPTIONS. The Exhibitor shall not sell alcohol on premises at any time. The Exhibitor may not serve alcohol on premises at any time. Host reserves the right, in its exclusive discretion, to remove anyone who in its judgment is intoxicated or under the influence of alcohol or drugs, or who shall in any manner do or participate in any act jeopardizing the rights, use permit, or insurability of Host or the safety of its staff, representatives, volunteers, guests or building contents.
 
CONDUCT
There is absolutely no drug use of any kind tolerated on the premises. Disparaging remarks or any type of physical violence will not be tolerated and will be cause for immediate removal from the event. Exhibitors and guests shall use the premises in a considerate manner at all times. Conduct deemed disorderly at the sole discretion of Host staff, representatives and or volunteers shall be grounds for immediate removal from the premises and will mark the conclusion of the rental period for said Exhibitor. In such cases NO refund of the rental space fee shall be made.
 
EVENT CANCELLATION / NO-SHOWS / REFUNDS
Events will not be cancelled due to inclement weather unless a State of Emergency with driving restrictions has been declared. If the facility cancels the event for any reason, the issuance of a refund may be possible but is not guaranteed. Exhibitors who pay for exhibiting space and do not show up will NOT receive a refund. Exhibitors who cancel their paid exhibiting space will NOT receive a refund.
 
LOST AND FOUND
Host takes no responsibility for personal effects and possessions left on the premises during or after any event.
 
PROMOTIONS
It is important to Host that you have a fantastic and successful event and shall provide sufficient advertising for events. Flyers will be distributed to surrounding local businesses for display in windows and on counters (if applicable). Host prepares and submits press releases about events to local newspapers however the newspapers do not guarantee press releases will be printed and Host is not responsible for press releases not being printed by local newspapers. Host advertises events using social media such as Facebook. Host highly recommends Exhibitors promote their upcoming event participation on their own Facebook accounts (if applicable) as well as to colleagues, friends and family.
 
ADDITIONAL INFORMATION
Host reserves the right to accept or reject applicants. In the event of rejection or if all spaces are reserved, the fee will be returned.  There will be NO REFUNDS made or implied other than mentioned in this contract/agreement.
A representative of Host and promotional materials and signage will be present at all events, and any questions about the event or upcoming events and the charities Host supports can be directed to that representative.
